Administrator permission controls, per-user messaging, unread notifications and optional sound. Requires Stage 70 Supabase SQL setup and security verification before staff rollout.

Shared manual stock adjustments
This is a test workspace, not yet the full V72 Order Lists page. Existing Stage 2 test adjustments remain available. New NuEPOS imports can be previewed locally before publishing.
| Product code | Quantity | Reason | Remove |
|---|
Changes are saved when you click Save. If someone else saves first, you must reload and reapply your edits; this prevents silent overwrites. The app checks for new revisions periodically when you have no unsaved changes.
NuEPOS Stock Import
Import a NuEPOS .xlsx or .csv export. Product ID, name, supplier, Quantity In Stock, case/unit costs, VAT, case size, Min, Max and 30/90/180/365-day sales are extracted for ordering previews. No customer subscription information is read or uploaded. The preview is local to your browser until you explicitly publish. Parent Products are excluded.
All data imports
NuEPOS above; Appstle files below. Appstle files remain on this device and are not published to Supabase.
NuEPOS Bills Due
Import the NuEPOS Bills Due report. Bills are stored in this browser, separately from stock and Supabase. Historical Purrform and Natural Instinct accounts remain separate.
After importing, use the Subscription Matching or Order Preview tabs to check the results.
| Product | Supplier | Imported quantity | Corrected quantity |
|---|
Manual corrections are stored separately from the NuEPOS snapshot. They do not change the imported quantities. This stage is for validating shared stock data, not placing orders.
Appstle Forecast & Dated Subscriptions
Load an Appstle ANALYTICS product delivery forecast CSV. The forecast stays in this browser and is not uploaded. The seven-day forecast is compared with shared stock. The order preview uses Min/Max and case sizes from the updated NuEPOS snapshot. It calculates V72’s weighted historical demand and shows supplier cover choices. The Appstle Custom column provides the 14-day quantity. Eleven-day quantities use the first seven days plus dated occurrences on days 8–11; check the selected first Sunday.
| Product | Supplier | Quantity In Stock (adjusted) | Next 7 days | Shortfall (minimum) | Match |
|---|
V72 name matching: exact, descriptor variation, known DIBO aliases, then guarded fuzzy matching. SKU/barcode and saved manual matches are available after republishing a NuEPOS snapshot with identifiers. Uncertain rows remain unmatched. This is a diagnostic preview, not an order list.
Subscription Matching — all products
Based on V72: review every Appstle product, including future subscriptions outside the current ordering window. Manual matches are saved in this browser and take priority on later imports. Parent Products are excluded. Review fuzzy matches before relying on orders. The full subscription export may contain several customer lines for the same product; these are consolidated in the matching view.
Discontinued products with active subscriptions
Matched discontinued products are grouped by NuEPOS product for review, even when Appstle uses several names. Negative stock is flagged for reconciliation. Discontinued products are excluded from automatic purchasing; no substitutions or cancellations are made automatically.
| NuEPOS product | Appstle subscription names | Current stock | Stock status | Action |
|---|
| Subscription product | SKU | Matched NuEPOS product | Supplier | Method | Confidence | Action |
|---|
All rows are evaluated, with the first 250 filtered rows displayed. This is a local matching workspace; no customer details are shown or uploaded.
Supplier Cover Comparison
Read-only preview (7- and 14-day forecast quantities; 11-day quantities require full subscription export) using V72-style Essential / Balanced / Ideal calculations, NuEPOS Min/Max and case multiples (Mersey Raw half-cases). Subscription demand is aggregated per product. Not the full V72 engine: normal shop demand in order quantities, product-rule overrides, negative-stock reason checks, supplier cover windows, dated subscriptions are now included for 11-day preview; bills are not included. Do not order from these figures.
Unmatched dated subscriptions
These are dated product lines due on days 8–11 that could not be matched to NuEPOS. No customer information is displayed.
| Appstle product name | Due dates (days 8–11) | Units per occurrence | Total units | Match status |
|---|
| Supplier | NuEPOS product | Quantity In Stock (adjusted) | Subscription demand (selected cover) | Min | Max | Order multiple | 30-day sales | Weighted sales/week | Estimated shop/week* | Cover | Essential | Balanced | Ideal |
|---|
Unmatched demand is excluded and flagged. For products imported before Stage 8, case sizes and Min/Max are unavailable; re-import NuEPOS and review the preview before publishing the updated shared snapshot. Negative stock is not automatically ordered except to cover forecast subscriptions. Min = -1 prevents normal stock top-ups in every order mode; genuine subscription shortages remain visible. Historical weekly demand uses V72 weights (50% 30-day, 25% 90-day, 15% 180-day, 10% 365-day). The shop/week estimate subtracts normal subscription weekly demand only when Next 365 days is supplied. It is diagnostic, not added to order quantities. 14-day quantities use Appstle Custom. Eleven-day quantities are withheld when additional dated product lines cannot be matched; review the unmatched table above. No orders are saved or placed.
Order Lists
Load NuEPOS and Appstle data to populate supplier order sections.
Subscription matching & forecast/date diagnostics
These are two separate checks. Unmatched subscription lines may exclude demand; forecast/date differences can arise because the reports cover different periods. The Appstle seven-day forecast remains authoritative for days 1–7.
Subscription products requiring attention
| Product description | Excluded / unmatched lines | Occurrences on days 8–11 | Matching result / reason | Action |
|---|
Seven-day forecast / dated-export differences
| Product | Supplier | Forecast (7 days) | Dated (days 1–7) | Difference |
|---|
Suppliers are ranked by earliest identified subscription risk; products can be sorted A–Z or most urgent first within each supplier. Draft order quantities are stored on this browser. Supplier shortage checkboxes save to the shared Supabase register. Missing cost data is shown as unavailable rather than estimated.
Min / Max Review
NuEPOS remains the master record. Suggested values follow V72's 1.5-week demand and sales-only Max guide. Review and approve proposals here, then manually update NuEPOS. Approvals are local to this browser and never change live stock or ordering figures.
| Select | Supplier | Product | Cost Price (ex VAT) | Selling Price (inc VAT) | Case | NuEPOS Min | NuEPOS Max | Suggested Min | Sales-only Max guide | Review reasons | Approved Min | Approved Max | Status | Action |
|---|
The Max is V72's sales-only guide, not a mandatory stock ceiling; case sizes and shelf-fill decisions may justify a higher Max. Min = −1 is never automatically changed. Approval does not write to NuEPOS or alter supplier order calculations. Re-importing NuEPOS confirms changes only when its actual Min/Max values match your approved values.
Supplier Out of Stocks
Record supplier-confirmed shortages against NuEPOS products. Tick unavailable items, add an estimated return date if known, and leave notes. These records are saved in this browser, separately from NuEPOS. The review uses them as a caution flag, not as proof of lost sales.
| Supplier | NuEPOS product | Supplier OOS? | Expected return | Notes | Last updated |
|---|
Supplier shortages are not the same as shop stockouts. No NuEPOS stock quantities, purchase orders or Min/Max values are changed here. Changes are local until you click Save shortages to Supabase. Export backups for recovery.
Staff Message Board
Shared team handovers and updates. Messages save to Supabase automatically. Use individual staff logins so each post records the signed-in account. Avoid putting sensitive customer personal information here.
Stage 20 uses a shared document with revision checks. If simultaneous edits conflict, the app retains unsaved edits locally and displays a warning. A tamper-resistant, database-enforced Activity History requires a separate database upgrade and is not included in this stage.
Supplier Contacts & Ordering
Active suppliers only. Ordering details are shared with authorised staff. Passwords are never stored here; use a link to an access-controlled password manager instead.
| Supplier | Ordering website | Supplier email | Phone | Contact / rep | Account login email | Password manager |
|---|
Owner: edit the fields and click Save supplier contacts. Staff: read-only, with copy buttons for login email and supplier email. Sharing a password-manager link does not grant access by itself.
Supplier Rules & Ordering Deadlines
V72-style supplier rules, payment terms, checks, deadlines, minimums and carriage thresholds. Values are initially populated from V72 where available. Changes are stored in this browser until you explicitly save them to the shared workspace. These settings do not alter NuEPOS.
Payment and delivery rules are editable here. Check supplier rules and payment details before placing orders in NuEPOS.
All Products
Read-only reference for the complete imported NuEPOS product snapshot (excluding Parent Products). Search across product, supplier, barcode and product ID. No changes are made to NuEPOS.
Choose status filters
| Status | Supplier | Product | NuEPOS stock | Subs 7d | Subs 14d | 30d sold | 90d sold | EPOS Min | EPOS Max | Case qty | Cost ex VAT | Selling inc VAT | Weight | Barcode | Product ID |
|---|
Statuses are reference indicators derived from current stock and Min/Max, not V72's full subscription-aware ordering priorities. Use Order Lists for actual ordering recommendations. Discontinued items can be included by unticking “Exclude discontinued products”.
Stock & Date Checks
Stock check and date check frequencies come from Supplier Rules. Physical stock counts are written on printed worksheets, then corrected directly in NuEPOS. Expiry dates and notes are held in this planner.
Supplier Check Schedule — click to expand or collapse the full supplier list
| Priority | Supplier | Stock frequency | Last stock check | Next stock check | Date frequency | Last date check | Next date check | Actions |
|---|
Expiry Clearance List — 0 products — all suppliers · expand for sticker / sale checklist
Products with recorded earliest BBE / expiry dates within six months, across all suppliers. Overdue/expired items are flagged separately for review — do not automatically sell them. This list uses saved date-check entries and the current NuEPOS stock snapshot; it does not change prices.
| Band | Supplier | Product | NuEPOS stock | Earliest BBE / expiry | Notes | Stickered |
|---|
Stock Checks & Date Checks
Stocktake method: staff record shelf/freezer count and stock put aside for future orders on paper, then update the corrected quantities in NuEPOS. These paper counts are not entered into the planner.
Date checks: enter the earliest BBE/expiry date for applicable products. The planner indicates ≤2 months (20% off), 2–6 months (10% off), and 6–12 months (keep an eye). These are suggested clearance bands, not automatic price changes.
Supplier — Stock & Date Check
| Needs date check? | Product | NuEPOS stock | Shelf / freezer count | Put aside for future orders | Earliest BBE / expiry | ≤ 2 months 20% off | 2–6 months 10% off | 6–12 months Keep an eye | Notes |
|---|
Date-check records are saved in this browser immediately and shared only when you select Save date checks to Supabase. Printouts intentionally leave stock counts, put-aside quantities, dates and notes blank for handwriting.
Week 1 & Week 2 Subscription Picking Lists
Generated from the full Appstle subscription export. Week 1 is Sunday–Saturday and Week 2 is the following Sunday–Saturday. The Next Date is the subscription payment date. Recurring weekly subscriptions are included again when due in Week 2.
Fulfilment highlighting: PICK_UP has no colour, LOCAL is yellow, and SHIPPING is red. Courier selection is not included.
Bills & Supplier Accounts
NuEPOS Bills Due records, grouped by original billing account. Local paid markers do not update NuEPOS. Unmatched invoices remain in the bill list without affecting stock supplier credit limits.
| Priority | Supplier | Reference | Bill Date | Due On | Days | Amount | Status | Matched Account | Action |
|---|
Supplier Account Summary
Order exposure uses the currently selected supplier order option, including VAT where known. Account status is advisory; check V72 and NuEPOS before ordering.
| Supplier | Payment Type | Terms | Credit Limit | Open Balance | Overdue | Due ≤3d | Order inc VAT | Projected Exposure | Headroom | Account Status |
|---|

Staff Rota & Shop Calendar Stage 77.4c
Recurring shifts, one-off changes, owner cover, guest cover and shop closures. Staff see published entries only.
Add / amend a specific calendar date
A date-specific change does not affect the usual weekly rota. Use a cancellation to remove a repeating shift on just that day.
Calendar changes are published to all staff automatically.
Holiday & Overtime Requests
My holiday balance
Check your remaining entitlement before requesting leave. Approved holiday is included in the balance.
Request time off
Submit additional hours
My pending requests
Show previous requests
Approved, declined, withdrawn and rejected requests are retained for your records. Approved requests cannot be withdrawn by staff.
Weekly timesheets & payroll approvals
This selection controls the weekly timesheet, approved holiday, overtime and other absence totals, and payroll adjustments below.
Payroll adjustments
Monthly payroll approval
Choose a calendar month. Review each Monday–Sunday week separately (weeks crossing month boundaries show only days within this month), then approve the entire month in one action. Select one employee above to review their breakdown; approval saves all employees.
Earlier weekly payroll approvals (legacy)
Weekly payroll review
Scheduled hours are based on published rota shifts, excluding approved full-day absences and closures. Approved extra hours are added separately. Approved holiday hours are shown separately and are not automatically included as worked hours. Check all totals before payroll.
Employment details & holiday entitlement settings (owner)
Employment details & entitlement
For regular-hours staff, the planner automatically calculates the statutory minimum as contracted weekly hours × 5.6 weeks (maximum 28 days of equivalent hours for staff working more than five days per week). Bank holidays are included in this allowance unless your contract provides extra. This automatic method is not suitable for irregular-hours or part-year workers, whose statutory accrual may need to be calculated from hours actually worked. Confirm contractual enhancements and working patterns before using payroll figures.
Owner approvals and absence records
Record absence (including your own — approved immediately)
Manage repeating weekly shifts
Choose an effective date when changing a usual working pattern. Old weeks retain their original schedule.
Standard shop opening hours & cover requirements
Choose the days and hours the shop normally opens. Coverage warnings use published shifts, including your own and guest cover. A full-day closure removes that day from coverage requirements.
